A school ERP replaces registers and spreadsheets with one connected system. The right software saves hours every week. The wrong one is abandoned after three months. Use this checklist before you decide.
1. Fee management that matches your rules
Check that it handles class-wise and category-wise fees, discounts, late fines, instalments and printed or online receipts. Ask to see the defaulter list and the daily collection report.
2. Attendance with parent alerts
Daily attendance should take minutes, and parents should get a message when a child is absent. Ask whether RFID or biometric attendance can be added later.
3. Exams and report cards for your board
Your school may follow CBSE, ICSE or the Bihar Board pattern. Report cards, grading and marksheets must be customisable for it.
4. Admission and enquiry tracking
Online registration and follow-up reminders help you convert enquiries into admissions instead of losing them in notebooks.
5. A parent mobile app
Parents want attendance, homework, results and fee status on their phone. Check which phones the app supports and whether fee payment is possible.
6. Easy data import
You already have student and fee data in Excel or an old software. The vendor should import it for you, not ask you to type it again.
7. Role-based access
The principal, accountant, teachers and clerks need different permissions. Make sure staff only see what they should.
8. Training and setup time
Ask how many days setup takes and whether staff training is included. Good software still needs a good start.
9. Backups and data safety
Your student records are sensitive. Ask where data is stored, how often it is backed up and who can access it.
10. Local support
When the fee season is on, you need an answer today, not next week. A vendor in your city who answers the phone is worth a lot.
